Team Assistant

The Role

We are looking for a highly organised and proactive Administrator to support our growing team. This is a critical role with varied responsibilities; you’ll be the go-to person to keep everything running smoothly, from supporting our leadership team with daily logistics to ensuring our office spaces are a fantastic place to work.

While you will support key individuals, the primary focus is on taking ownership of the diverse administrative needs of the entire company and office. If you love variety, are happy to “muck in” on tasks large and small, and want to establish and own the administrative processes for a high-growth company, this role is for you.

Key Responsibilities and Duties

Administrative & Logistical Support

• Office Management: Be the primary point of contact for the London office. This includes managing supplies, liaising with building management, maintaining a tidy and welcoming workspace, coordinating deliveries to and from the office etc.
• Travel Management: Manage and book domestic and international travel (flights, accommodation, ground transport) for team members, ensuring compliance with our policy and budget guidelines.
• Diary & Meeting Management: Coordinate and manage busy calendars for key stakeholders, schedule internal and external meetings across multiple time zones.
• Documentation: Accurately take and distribute meeting minutes for internal, and sometimes external, team meetings, and help organise and file key company documents.
• HR Support: Assist the HR team with administrative tasks related to new starter onboarding (e.g., preparing welcome packs, setting up desks, liaising with IT) and offboarding (e.g. organising couriers to collect equipment).

Finance & Operations Support

• Expense Management: Support the leadership team with expense reconciliation and submission via our expense platform.
• Vendor Management: Manage relationships with key office vendors and suppliers (e.g., catering, cleaning, utilities).
• Ad-Hoc Projects: Jump in to assist other teams, e.g. marketing, with company events, office moves, system setup, and other special projects as they arise.

Please note we will require the Team Assistant to be in the office at least 3 days a week (Bloomsbury area, closest to Holborn and Tottenham Court Road stations)
