Role Purpose
As a Payment Operations Specialist, you will be the engine room of our transaction flow. You will manage the daily movement of funds across traditional banking rails and digital asset networks. This is not a “data entry” role; we are looking for an agile professional who actively uses AI tools and automation to eliminate manual bottlenecks, handles complex exceptions, and supports the broader Finance team in reporting and audit functions.
Core Responsibilities
1. Transaction Management & Exception Handling
- Manual Returns & Investigations: Manage and resolve failed or rejected payments (fiat wires and digital transfers). Identify root causes and coordinate with banks or Liquidity Providers (LPs) to ensure fund recovery.
- Payment Proofs: Generate and verify official payment confirmations for high-value clients and institutional partners.
- Exceptional Handling: Address “edge case” scenarios in payment routing, such as Sanction/AML hits, mismatched beneficiary details, or network congestion in digital assets.
2. Reconciliation & Audit Support
- Dual-Rail Reconciliation: Perform daily “match-and-clear” reconciliations between internal ledgers, bank statements (fiat), and wallet/LP reports (digital).
- Audit Confirmation: Serve as the primary point of contact for client audit requests, providing accurate transaction history and balance confirmations.
- Finance Integration: Assist the Finance department with month-end closing tasks, including fee calculations and refund processing (e.g., coordinating with on monthly fee differences) and fiat / digital settlement.
3. Digital Asset & OTC Operations
- OTC Support: Assist the desk in executing and settling Over-the-Counter (OTC) trades, ensuring fiat is confirmed before digital assets are released.
- On/Off-Ramp Coordination: Monitor stablecoin acquiring flows and ensure smooth routing to Hashkey or other LPs for small and large ticket off-ramping.
4. Process Innovation (The “AI-First” Mandate)
- Task Automation: Use AI tools (e.g., ChatGPT, Copilot, or specialized NetSuite scripts) to automate repetitive manual tasks such as data extraction from bank PDF statements or generating standardized client responses.
- SOP Evolution: Continuously update and refine Standard Operating Procedures (SOPs) to reflect faster, leaner workflows.
Requirements & Skills
- Agile Mindset: Ability to pivot quickly between traditional banking tasks (SWIFT/ACH) and digital asset tasks (On-chain txn/Stablecoin spreads).
- AI Proficiency: Demonstrated ability to use Generative AI tools to draft communications, summarize complex logs, or write simple formulas/scripts to speed up manual work.
- Finance Fundamentals: Strong understanding of double-entry bookkeeping, treasury management, and the Delegation of Authority (DoA) protocols.
- Experience: 2+ years in Payment Operations, preferably at a fintech, crypto exchange, or payment gateway.
