Role Summary

We are seeking a highly organized, proactive, and versatile HR & Office Admin to support our CEO and HR Operations team. This hybrid role combines high-level executive assistance with strategic administrative and HR support, requiring exceptional communication, discretion, multitasking abilities, and a passion for organizational culture and efficiency.

You will work dynamically across Office Management, HR and Employee Experience initiatives that foster a productive, engaged, and growth-oriented work environment.

What you’ll be doing

Administrative & Office Operations:

  • Provide administrative support across departments, travel arrangements, document preparation, and vendor coordination.
  • Organize company meetings and events, assist in managing office supplies, and ensure smooth day-to-day operations.
  • Draft and format reports, presentations, and internal communications as needed.

Employee Experience Support:

  • Manage Employee welfare and events programs, fostering a positive and productive work environment.
  • Collaborate with HR Business Partners to support employee lifecycle processes including onboarding, compliance tracking, and internal reporting.

Training, Development & Culture:

  • Promote continuous learning and employee growth through development initiatives and program support.
  • Support employee engagement, cultural development, and change management efforts across the organization.

Executive & Personal Support to the CEO:

  • Serve as the primary point of contact for the CEO, managing their daily schedule, communications, and priorities.
  • Coordinate meetings, events, and logistics, including drafting correspondence, preparing agendas, and supporting follow-ups.
  • Maintain strict confidentiality with sensitive information and anticipate the CEO’s needs to optimize efficiency.

Requirements

  • 2–4 years of experience in executive assistance, office administration, or HR coordination roles.
  • Exceptional organizational and communication skills with strong attention to detail.
  • Ability to handle sensitive information with discretion and integrity.
  • Proactive problem-solver who thrives in a fast-paced, evolving environment.
  • Proficient in Microsoft Office Suite, Google Workspace, and HR tools (e.g., HRIS systems).
  • Enthusiastic about learning new skills & contributing to evolving projects across the business.

Please be advised that this is a mainly office-based position, with some level of flexibility to coordinate with the team on occasional work from home.
