About the Role

Key Responsibilities:

Global Operations & Workplace Excellence

  • Own and continuously improve global office operations across multiple locations (facilities, supplies, services, reception, mailroom, pantry, etc.).
  • Set global standards and SOPs while adapting to local compliance and culture.
  • Ensure offices are safe, functional, and employee-friendly; manage incident response and issue escalation.

Vendor, Procurement & Cost Efficiency

  • Lead vendor strategy and performance management (facilities, security, cleaning, pantry, travel agencies, event vendors, office services, etc.).
  • Drive cost efficiency through benchmarking, negotiation, contract governance, and spend controls.
  • Implement a ROI-based budget framework for admin spend (events/campaigns/paid services) and reduce wastage in collaboration with Finance/Procurement.

Governance, Risk, Security & Compliance

  • Partner with Legal/Compliance/IT/Security to ensure appropriate controls for workplace operations, physical access, asset management, and vendor risk.
  • Support business continuity planning (BCP) and emergency readiness for key sites.
  • Maintain audit-ready documentation and operational reporting.

People Leadership & Capability Building

  • Lead and develop a global admin team (directly and through regional leads).
  • Strengthen cross-functional collaboration with People, Finance, IT, and business stakeholders.

Process, Data & Automation (AI-Friendly Operations)

  • Build dashboards and KPIs (service SLAs, vendor scorecards, spend trends, office utilization, event ROI).
  • Identify opportunities to automate workflows (ticketing, approvals, inventory, vendor billing, FAQs), including practical AI usage for scale and efficiency.

Requirements:

  • 8–12+ years in Administration / Workplace / Facilities / Office Operations, including multi-country or regional scope.
  • Proven experience leading teams and managing multiple vendors across locations.
  • Strong commercial capability: budgeting, forecasting, cost optimization, contract negotiation.
  • Operational excellence mindset: SOPs, governance, risk controls, and scalable processes.
  • Confident stakeholder management—able to influence senior leaders and align cross-functionally.
  • Comfortable in fast-paced environments (fintech/tech/crypto/startup experience is a plus).
  • Strong English communication skills; additional languages are an advantage.
