About the Role:
The Executive Assistant (EA) will be responsible for supporting the Chief Real Estate Officer and Senior Vice President of Real Estate, helping drive operational effectiveness for Crusoe’s rapidly expanding commercial real estate and data center development organization. This role requires a dynamic, highly adaptable professional who can flex their approach based on the needs of each executive while operating with discretion, sound judgment, and a strong sense of ownership.
The EA will proactively anticipate needs, manage competing priorities, and ensure the smooth coordination of calendars, travel, and key business activities across multiple locations. Given the pace and scale of Crusoe’s real estate growth, this role requires someone who thrives in a fast-moving environment and can support leaders navigating complex development timelines, cross-functional coordination, and external stakeholder engagement.
As the Executive Assistant, you will be required to work on-site five days per week. You will collaborate closely with other Executive Assistants, Workplace Managers, and cross-functional partners. Responsibilities may evolve as the company continues to scale. By ensuring operational efficiency and strong executive coordination, you will contribute directly to Crusoe’s mission of accelerating the abundance of energy and intelligence.
This is a full-time, in-office position based in San Francisco.
What You’ll Be Working On:
Manage executive inboxes with a high degree of care and judgment — triaging, drafting responses, flagging urgent items, and ensuring nothing falls through the cracks, even when the executive isn’t actively engaged.
Provide high-quality, timely, and detail-oriented administrative support to Crusoe’s Real Estate leadership, including managing complex calendars, preparing confidential correspondence, arranging travel, processing expenses, and ensuring stakeholders are informed and aligned.
Coordinate and manage executive calendars across multiple time zones, balancing internal leadership meetings, cross-functional collaboration, and external engagements with brokers, partners, and vendors.
Support coordination for the Real Estate leadership team and their direct reports to ensure alignment across development projects, portfolio planning, and strategic initiatives.
Thoughtfully manage scheduling requests to maximize executive effectiveness and protect focus time while ensuring key priorities move forward.
Improve meeting effectiveness by preparing agendas, gathering context and materials, capturing notes, tracking decisions and action items, and ensuring follow-through.
Assist with planning and execution of leadership offsites, project reviews, team events, and strategic planning sessions, including logistics, vendor coordination, agenda development, and on-site support.
Partner closely with other Executive Assistants, Workplace Managers, and cross-functional teams to coordinate travel, conferences, site visits, and company events.
Identify opportunities to streamline processes, improve communication, and strengthen operational coordination across the Real Estate team.
Support occasional personal tasks or administrative needs for leadership as required.
Maintain accessibility during the traditional work week, with occasional flexibility outside standard hours when urgent business needs arise.
What You’ll Bring to the Team:
You have 5-7 years of experience in an executive administrative role.
You have a background in real estate, acquisitions, or development — or have directly supported executives in these fields — and can engage fluently with deal flow, site timelines, and portfolio language.
Experience working with and supporting technology/software teams is desirable.
You have exceptional communication skills—written, verbal, and interpersonal.
You possess strong attention to detail—accuracy in numbers, logistics, and communication.
You exercise discretion and confidentiality with sensitive information.
You can prioritize conflicting needs and manage time effectively in a fast-paced environment.
You have proven success in planning and executing team offsites or large-scale events.
You have experience helping an executive learn how to work with an EA — you know how to build trust, create structure for delegation, and establish workflows that make the partnership more effective over time
You are proactive, always looking for ways to help and improve processes.
You can operate with minimal direction. You piece together context from limited information, take initiative, and move work forward without waiting to be told what to do.
You can work independently while keeping stakeholders informed and aligned.
You are proficient in Google Workspace (Gmail, Docs, Sheets, Drive, Slides, etc.).
You can prioritize conflicting needs and manage time effectively in a fast-paced environment.
You are eager to grow with the organization and take on new challenges.
You embody the company values and contribute positively to Crusoe’s culture
