Role:
We’re seeking a proactive and highly organized Executive Assistant & Administrative Coordinator to support our three co-founders. This role is essential in keeping our leadership team focused on strategic priorities by managing day-to-day operations, communications, and administrative workflows.
The ideal candidate thrives in a fast-paced startup environment, demonstrates excellent judgment in handling sensitive information, and brings structure to a dynamic workplace.
Key Responsibilities:
Executive Support
– Manage complex calendars and schedule meetings across multiple time zones.
– Coordinate domestic and international travel (flights, accommodations, itineraries).
– Track receipts and process reimbursements.
– Draft, proofread, and manage correspondence on behalf of the co-founders.
Administrative & Operational Support
– Organize and maintain digital files, records, and knowledge bases.
– Take meeting notes, track action items, and ensure timely follow-up.
– Support onboarding of new team members and contractors.
– Assist with account setup, compliance documentation, and invoice tracking.
Communication & Coordination
– Serve as a point of contact between co-founders and internal/external stakeholders.
– Manage inboxes and communication channels for efficient correspondence.
– Coordinate across teams to align priorities and keep projects on track.
Compliance & Finance Support
– Assist with compliance documentation and reporting.
– Track and organize invoices, contracts, and related documentation.
Preferred Experience & Skills:
– Prior experience supporting senior executives, ideally in a startup or fast-paced environment.
– Strong organizational skills with attention to detail and follow-through.
– Excellent written and verbal communication skills.
– High level of discretion and judgment when handling confidential information.
– Proficiency with productivity tools (Google Workspace, DocuSign, HR platforms, invoice management systems).
– Comfortable navigating compliance and operational processes.
