Hi, I’m Darcy! I joined Ashby just over a year ago to establish our events function. I started my career in interior design before moving into event and field marketing, and have spent nearly 10 years producing high-impact events and campaigns across a range of companies. I’ve loved shaping our sponsored activations at industry conferences and how we show up at third-party events – building complex project plans and timelines, partnering closely with Design on event creative direction, and developing strong vendor relationships that are core to our success. And now, as we prepare to scale our conferences and third-party event activations and operations in 2026, we’re expanding the team to make it our most exceptional year yet!

We have notable customers like Notion, Linear, Shopify, and Snowflake. Our growth and retention metrics are best-in-class among our peers: we have tens of millions in ARR, growing >100% year over year, over 3,00 customers, very low churn, and many years of runway. We’re looking for an Event Marketing Manager who knows how to create experiences people feel – someone who can balance creative vision with flawless execution and turn every detail into a reflection of the Ashby brand.

You’ll own the operational execution of Ashby’s presence at industry conferences and third-party events – from major industry gatherings like Transform, Unleash, and RecFest to niche, high-impact programs across the recruiting landscape. Your role is to bring our event presence to life through thoughtful, high-quality activations that elevate our brand and create meaningful connections with talent leaders. You’ll collaborate closely with internal stakeholders and external partners, managing logistics and budgets end-to-end and serving as a reliable on-site presence to ensure every detail runs seamlessly.

This role is perfect for someone who thrives on organization, efficiency, and execution – a dependable operator who excels at managing logistics, keeping teams aligned, and ensuring every event runs seamlessly from start to finish.

You’ll be responsible for:

  • Planning and executing all event logistics for Ashby’s participation in conferences and sponsored events, including booth builds, swag, shipping, travel arrangements, staff management, room blocks, and on-site execution.

  • Coordinating cross-functionally with Marketing, Partnerships, Sales, and Design to ensure brand consistency, messaging alignment, and seamless attendee experiences.

  • Owning vendor relationships, including event organizers, production partners, booth fabricators, shipping/logistics providers, and swag suppliers.

  • Managing budgets end-to-end, from forecasting and vendor negotiations to reconciling invoices and tracking spend.

  • Creating and maintaining detailed documentation, including event briefs, timelines, run-of-shows, staffing and travel plans, and post-event debriefs.

  • Serving as the on-site conference lead, managing setup, run-of-show, and teardown, while ensuring a polished and professional presence.

  • Tracking performance metrics such as booth traffic, engagement, and ROI to inform future event sponsorship decisions. Partner with our RevOps team to ensure we have the right infrastructure in place to track leads generated from events.

  • Continuously improving operational processes, vendor relationships, and documentation to drive efficiency and scalability across the event program.

  • You can travel domestically and internationally – while we share travel responsibilities across the team, this role will require travel monthly.

Interview Plan

At Ashby, we design our interview process to help you show your best self. Here’s what to expect:

  1. A 30-minute intro call with Anna – An introductory chat to learn more about the role and share a bit about your experience.

  2. A 45-minute hiring manager interview with Darcy– We’ll dive into past projects and discuss your approach to events.

  3. A 30-minute interview with the VP Marketing (Harriet) – She’ll want to understand how you work, your approach to building and designing events, and your alignment with our Operating Principles.

  4. A take-home assignment, which you’ll have 30 mins to discuss with the hiring team

  5. Final Round (1.5-2hours) with cross functional partners and stakeholders
