We are organized in a round the clock support model and support a wide range of functions including end to end matter management, approvals and signature. Your Impact
- Preparing the contract for signature and having the contract signed
The Signature Admin will confirm the contract being requested for signature matches the contract approved by Cisco, verify that the Cisco approval process was followed in accordance with Cisco’s policies and procedures, co-ordinate with the signatory and have the contract signed. Contracts can be signed electronically, via eSig (pdf), DocuSign and/or pen on paper as needed. If need be the Signature Admin will apply the seal with the signature and initial the contract pages. In some instances, candidate will be authorized to sign documents on behalf of Cisco.
- Scanning Paper Contract and distributing
The Signature Admin will scan the contract (in the case of signing originals) in the OCR format and will verify the accuracy and completeness of the scanning. Documents vary in size from approximately 2 to 100 pages.
The signed copy of the agreement will be forwarded to internal contacts and to the customer contacts as per the distribution instructions
- Validating Key Data Entered into Contract Management System by the Legal team
The Signature Admin will ensure key data fields entered by the contract owner match the paper contract document. These key data fields include Customer name and address, contract type, and contract title. They will correct any deficiency in these fields if the correct information is obvious (simple typos). If not, follow-up with the contract owner may be necessary.
- Attaching Scanned Contract to Proper Contract Record in Contract Management System (CMS)
The Signature Admin will find the appropriate contract record for the paper contract document (or the electronic contract) and upload the scanned document for association with this contract record and request contract activation.
- Filing Paper Contract
The Signature Admin will then file the paper contract in the filing system as required. If the contract document is new contract, a new file folder will need to be created. If the document is an amendment, it will be filed in the same folder as the original contract it is amending.
Archiving Expired/Terminated Contracts with Appropriate Retention Period
On a monthly basis, as required, the Signature Admin will pull the paper files for all terminated or expired contracts and prepare them for off-site storage.
- Reading Contracts and creating CMS / Approval Records
The Contract Admin will take a case from a Contract negotiator, extract metadata from the Contract and enter it into the Contract Management System/Repository. Following predefined guidance will submit the contract for approval on the Virtual Approval Process Tool. Monitor/support the contract through the approval/signature process.
Minimum Qualifications:
- Basic understanding of contractual principles and practices
- Strong knowledge of MS Office programs: Outlook, Word & Excel applications
- Ability to interact tactfully and effectively with a wide variety of individuals in person (including executives), via telephone and electronically (WebEx, email, MS Word)
- Working knowledge of DocuSign (or any third party electronic signature tool)
- Ability to learn/adapt quickly to IT based tools
